Job Summary:

Reporting to the Coordinator, Competitive Clubs, the incumbent will be responsible for completing the administrative tasks that keep the sport clubs programming operating efficiently and effectively. The SPC will ensure that all programming is safe, meets regulation and best practices, and executives are equipped for success. The SPC will focus especially on supporting club executives ensuring they have all administrative tasks completed at the start of the term to assist the clubs to facilitate the provision of high-quality programs, both in content and delivery.

 This is a casual part-time 4-month contract working from September – December 2023.

Key Responsibilities

  • Review and confirm all club executives and coaches complete administrative requirements on LEARN
  • Communicate with and send clubs updated membership lists monthly.
  • Calculate and collate clubs’ facility usage termly
  • Assist with outers club rental administration processes.
  • Review competitive clubs term prep forms and create competition calendar to track upcoming events
  • Audit Teams files to ensure they have the most up to date content
  • Update Teams channels at the beginning and end of the term to remove/add executives based on administration forms
  • In collaboration with Marketing Social Media Coordinators, monitor club’s socials to flag and repost competition participation
  • Communicate with clubs based on competition schedule to receive competition report and identify highlights to share with social media coordinators and to update website
  • Complete monthly review of club executives’ administration files and update accordingly
  • Attend Athletics & Rec Open House and provide information about Competitive clubs to students
  • Be knowledgeable and comfortable with department and industry policies and procedures
  • Report any issues as they arise to the Clubs Coordinator
  • Assist with the update of clubs website pages
  • Assist with other administration tasks that may arise based on club’s requests
  • Assist with the completion of the Term Summary
  • Complete all administrative duties prior to the end of the term
  • Continue the development of the department with new innovative ideas

Qualifications & Skills: 

  • Currently enrolled in classes
  • Minimum two terms experience with a Warriors club
  • Available on Waterloo campus throughout the term
  • Prior administrative experience an asset
  • Technological competencies with Microsoft Teams, and Fusion an asset
